Finally I've got the bare bones down for the site. This will allow me to keep track of who's going, who's staying in the rooms I've reserved, and who's staying at Matt's house.

I am likely missing a few people. That is either because you are tentative, or I did not know your forum name if you IMed me directly. Feel free to message me or post here if something needs changing. I will not add you to the list unless you are certain of staying in the rooms and/or attending the convention, so please wait until you're 100% sure if you're going and where you're staying.

Matt, I need some info for those staying at your place, you can catch me on AIM during the daytime when I'm at work, or email me.

ADDS: Oh, and while I've got your attention, it'd be good to know when everyone staying at the hotel will be arriving and departing, so I can calculate the room rates later on.

Omg, I kind-of-almost started a discussion... sorta.

2 problems with skipping:
1) We're on the block system. That means that we only have 4 classes a day. Do you realize how behind I would get from skipping 2 days in a row? It'd be like skipping 4 days on the regular 7/8-period system. I would have no problem with skipping at all if I didn't want to maintain my GPA. But in college, that will definitely change. Nobody cares if you had a 4.0 GPA in college. :P
2) We're only allowed to miss 3 days of school or else we cannot be exempt from our exams. And I am NOT going to take an exam. Ever. Except in college. Which will suck.

On a seperate note, I want to make something clear to those who have already ordered their memberships for AWA.

What you will be receiving is a Confirmation Letter. It's proof of your payment for a membership for the con. HOWEVER. You will need to bring this letter with you and go to Registration to pick up your actual badge. The con is not allowing people to pick up badges for others. The individual has to come in with their own confirmation letter and ID.

Registration will be open on Thursday, Sept 23rd, prior to the convention. Both pre-paid and walk-in memberships can be picked up/purchased then. I'll see if I can get what hours they'll be open for that day.

For those staying at my house, here's some advice, since we're under two months away from the big weekend:

SLEEPING ARRANGEMENTS -
-2 Couches
-1 Recliner
-Floorspace Like Mad

We have blankets, but it would probably be good to bring sleeping bags if you're going to be sleeping on the floor. The same could probably be said for hotel-stayers.

WHAT YOU SHOULD PACK:
-Probably towels and washcloths for each day. While I can guarantee you a shower, I can't guarantee you clean linens.
-Your toothbrushes. You're not usin' mine! We'll have toothpaste, however.
-Enough clothes for the weekend. I'd personally suggest a different outfit, or at least a different shirt, for each day. It's good to keep clean. Clean underwear is a must! We can also provide a recepticle for your dirty clothes and, if you really want, I can probably wash them for you before you return home, though it's not really necessary.

Otherwise, my house provides a shower and a place to sleep, and not much else. But hey, it's free!

I suggested that she post on the forums and she said "I really should, but I've just been so busy lately" - so I figured that she might actually be too busy to come and post here, so I did it for her. She said school is her main focus right now, and as well as the extracurricular activities surrounding it. Also, she has a boyfriend and a job, and she said that AWA just might not be work-able for her.

I have costs for the at-con memberships and current weekend rates per person for the two hotel rooms I've reserved on the site's Budget Section (see the first page of this thread). The flights I've purchased for myself and another Californian have been about $280-290 dollars through Expedia, I've seen roughly the same deal or higher elsewhere. Prices may be climbing as we get nearer the con date, so the sooner you purchase, the better. Anything else you'd need money for, I'm sure you can account for on your own.

I just found this e-mail my brother sent off to my Dad. This is what I'm having to put up with.
"I just talked to Pete about some Anime convention being held in Atlanta in September???? He was saying that some woman that he knows online offered to pay for half of his plane ticket out there. She has also offered to pay, full fare, for a person from Amsterdam and another one from New Zealand. I asked Pete what she did for a living and he told me she was a "civil servant." I don't know how someone like a postal worked could pay for a $2,000 ticket from New Zealand as well as a $600 ticket from Amsterdam out of the goodness of her heart. I think it sounds pretty damn shady and I really don't trust this woman that he is talking about. I don't know what you think of the whole thing but I really would be apprehensive to allow Pete to go down there by himself for this Anime Convention. He also would have to stay with some guy that he met online while down there which seems even shadier than the plane ticket fiasco. These people are weird and a lot of them are freaks as it is. I mean, grown men who are obsessed with Japanese cartoons??? Come on....It's probably just a front for a NAMBLA convention or something sick like that. Whatever, I'm just putting my two cents in."

Okay folks, there's been the usual update of who is/isn't going and the costs accordingly. Velvy, I've not added you yet because I was wanting to wait until after your mom had called like you said she would. That hasn't happened yet, and I worry about there being a possible hindering factor. Please have her call me, or send me a PM on the issue.

Since Peter will be staying with his dad in their own room at the con, that frees up an extra spot at Matt's. Yoshi, Thomas, if you can let me know whether you're still considering switching? Does anyone know if Lucien has decided yet either?

Now since we're coming up on the home stretch, I'd really like to hear from everyone about room preferences. I know some of you have voiced some of your choices over AIM, but I was a dolt and didn't write them down. So, this is how I'd like to go about doing it:

At this point, I only see Velvy and Ydoc possibly joining the rooms, for a max of 15. Everyone currently listed on the site is going, and will be there all 4 nights, save for Chibikat and Danae, who will be with us Friday and Saturday night only. (if there's someone else not staying the entire 4 nights, pleasepleaseplease let me know!). And as Brett shall be joining us, whatever room I end up in, he will be too.

So, with those things in mind, please send me a PM with a list of 5 to 7 people you would like to share a room with. Through everyone's responses I will TRY to work out room assignments that will make most (if not all) happy.

ADDS: Part of why I'm wanting to do room assignments is because it will also decide who I give room keys to, just an fyi.

What I would really like to see (if possible) is a list of all the people who will have cars available for use on Friday.

I'll be waiting at the airport for Velvy and we'll both be coming over together through a shuttle, but if something happens and we can't get a shuttle or something crazy I'd like a couple of cell phones that I can quickly call in order to arrange a fast ride to the hotel.

We don't want to walk the 17 miles to the hotel and you don't want a grouchy Danae and Velv on your hands. <3

From past experience, I'd heartilly reccomend Anime Hell. It's pretty hillarious, but has little to do with anime. It's more of a crazy random stock film festival.

Alright, current status:

Kathy and her boyfriend Andrew, who know Edwyn from another online medium, will be joining us in the rooms Friday and Saturday night. While I know they're not from this forum, I've spoken with her on AIM and I think they will get along well with the group, and will help with the current rollercoaster the room cost seems to be riding. ^^;

At this time, I'm not removing Deej, Kit or Akerin from the lists. As Akerin is staying at Matt's and there is still ample room there, it's not 'as' imperative to know right away for him. So take your time Akerin. Kit, I know you're trying to see how you can manage to get here on your own, I'm hoping you can work it out. As for Deej, there's been some discussion and I think things may be resolved by the end of the day.

I'm just waiting on those two to let me know. In the meantime, I've recalculated the room cost in the budget section with the 2 added people in mind.

Everyone, I am setting Thursday, September 16th as a cut off date, as that will be one week prior to when most will be arriving in Atlanta. If anyone wants to join us in the hotel rooms, or is going to back out please let me know by this date. I've sent emails to Deej and Kit, in case they're not browsing the forums. If I do not hear from them by the 16th, I will assume things have not been resolved for them, and that they are not coming.

On September 17th, I will post the room assignments. I will also be calling the hotel to add names to the reservations, as this will help get us 4 keys for each room. So, the reservations will have my name and 7 others on the list. Which names I put will be based on the room assignments, and who is due to arrive Thursday. On Friday, we can redistribute the keys based on the additional guests and who is likely to be with whom for that day and Saturday. Sunday we'll resdistribute again, and then Monday all the keys will be returned to me, and I will drop them off when it's time to checkout.

September 17th should also be the final day of recalculating the costs for the rooms. It should be up by that evening at the latest.

I would like to make it clear however that I do not want to be the soccer mom for this event. For those who are staying at the hotel and are flying in, there is a shuttle service. No, it is not free, but depending on what time of day you may be arriving, it may work better to just take it.

My only other reccommendation, if you can afford it, is to rent a car. I've seen the lowest age requirement at 18, if you ask me, I can let you know more on what you need to do.

Through requests by you and some observance from my point of view, I've compiled the following as the room lists. Please don't feel that this means you won't be able to hang out with whomever is in another room. This is mainly for sleeping arrangements, storing of personal belongings, and trying to make as many people as comfortable and happy as possible.

Alrighty folks, I've called the hotel and Brett, Nikki, and Danae's names have been added to the Room A reservation, and Chris, Tom, Edwyn, and Kit's names have been added to the Room B reservation. I have 2 confirmation numbers, so I'll have them both on hand when we check in together.

Things I have confirmed:
- Check in time is at 3pm. I'll be taking my room peeps with me straight from the airport. Chris, Tom, Edwyn, Kit, plan to meet us at the hotel at that time.
- The pool WILL be open the entire weekend of the convention. I've seen that the weather may be cloudy or rainy, let's hope for the best.
- Parking is free! Instead of a parking structure they have 2 flat lots that anyone can drive in/out without need for a pass. If people feel a need for Valet parking, it's $10/night.

I won't know if we can have our rooms connected until we check in, but the person I spoke with believed it wouldn't be a problem. They've noted the request on the reservation.

Awesome. Does anyone know if there's a good checkpoint at the airport for people to meet up? I'll have my Mom's cellphone with me too, so I'll be able to be in contact with people.

Last time I flew into Atlanta's airport, I met up with Beryl in the luggage claim area. It's kind of big if I remember correctly, but I'm sure we'll be able to find everyone. If you're having trouble finding the group, just look for the crazy blonde girl in a pink suit with the red suitcase and sunglasses :P

The Main Terminal is where we should all end up. When you're entering from the train from the gates, Baggage claims will be ahead of you on either side, just beyond the Atrium. There should be screens or signs that note when a flight number from a certain location arrived, and where they can claim their baggage.

I'll have a sign with me when I'm there that says "AVA Gather AWA". Matt/Thomas, if you think you'd need one too for when you get Edwyn/Velvy, I can give you the image Tamtu made for me. ^^

Okay, apparently there was some confusion on how the hotel charges for the room. It is per night, folks. Night. If you are leaving Sunday evening, then you would not be staying in the room Sunday night. I need to know this.

Anyway, with that in mind, there have been some cost changes. I'll be adding them to the site, but I'll post them here for now.

I have Kit, me, Nikki, Brett, Tamtu, Edwyn, and Thomas scheduled for 4 nights. Thomas has kindly offered to pay for Thursday, even if he ends up late and coming Friday.

You pay: $76.98

I have Danae, Chris, Tom, and Velvy staying three nights. Due to the changing numbers of people on certain days, there's a difference in cost. I will be paying for Tom's share.

Velvy pays: $55.78
The other 3 pay: $50.48

I have Katie, Kathy, and Andrew staying two nights.
